The Sales Support Assistant supports the Sales Department in the sales process with numerous commercial (administrative) activities. The Sales Support Assistant bares concern in the quotation process, processing of tenders/ contracts, and is literally the focal point for sales and the sales organization. The Sales Support Assistant is also responsible for Finance activities.

Your main tasks

  • Keeping and maintaining the sales reporting system (Salesforce) up-to-date with regard to customers, prospects, contact details, quotes, scoring percentages, validity period, tender value, decision deadlines, visit reports, and contact information;
  • Responsible for invoicing (creating and sending invoices and reminders, debt management, etc.);
  • Managing the Sales Information System (Exact);
  • Assignment registration and archiving in Salesforce (Purchase Orders and QAS);
  • Monitoring the QAS and tenders;
  • Distributing received Purchase Orders in accordance with procedure in a timely manner to the relevant internal stakeholders;
  • Weekly reporting of sales figures and KPI’s;
  • Discuss with and alert the Account Manager to contract expiration dates (SLA’s);
  • Generate sales leads and execute telephone acquisition;
  • Provide support in developing and preparing quotations for the sales team;
  • Bearing responsibility for the communication and correspondence to customers;
  • Being the focal point between Sales and the rest of the organization;
  • Accepting and dealing with incoming telephone traffic;
  • Receiving external visitors;
  • Taking minutes of Sales- and Bidroom meetings;
  • Managing the central document archive (Documents Administrator);
  • Monitoring the validity period of non-disclosure agreements and archiving;
  • Responsible for the debtors and creditors administration, among which the delivery of journal entries and also administrative work;
  • Responsible for the general ledger administration;
  • Responsible for processing and approval of purchase invoices and integration with our financial system;
  • Monitoring the sales invoices.

Your profile

  • School of Business Administration and Economics and Basic Accounting Training;
  • At least 3-5 years of experience working as a Sales Support Assistant and Finance Employee;
  • You are honest, creative, driven, flexible, result- and solution orientated and stress-resilient;
  • Preference: has participated in sales training, as well as training in customer-oriented calling, selling, thinking, and acting;
  • Has (commercial) secretarial training or experience;
  • Is accurate and meticulous;
  • Is immune to stress; knows how to set priorities and realize deadlines;
  • Has experience in the following programs: Exact, MS Word – Excel – PowerPoint – Outlook, Salesforce (preference);
  • Good communication skills;
  • Be able to maintain a helicopter view, pragmatic, flexible, and forward-looking;
  • Excellent knowledge of Dutch and English (both verbal and written).
